Inventory is the biggest silent leak. A weekly count takes a manager two to four hours, the numbers are stale before they hit the spreadsheet, and variance between theoretical and actual usage gets discovered a month late, if ever. By then the over-pouring habit, the unrecorded comps, or the delivery shortage is a pattern instead of an incident.
Invoices are the second leak. Supplier pricing creeps up quietly, case sizes change, and nobody has time to compare this week's invoice against the last three. Operators find out their cost of goods drifted when the P&L arrives, weeks after the money left.
Scheduling is the third. Building a schedule means juggling availability, forecasted covers, labor targets, and FLSA tip-credit recordkeeping that payroll depends on. An operator's view of hospitality automation
Variance is a weekly conversation, not a monthly surprise
Theoretical versus actual usage is the number that quietly decides whether a bar makes money. POS depletion tells you what should have been poured; the count tells you what actually left the shelf. The gap is variance, and in a healthy operation it stays within a couple of points by category. In an unhealthy one, it drifts and nobody can say why.
The reason most venues review variance monthly is effort: assembling the data takes hours. When the reconciliation runs automatically, the conversation moves to weekly, and weekly variance is coachable. A bartender over-pouring gets feedback while the habit is fresh. A delivery shortage gets disputed while the invoice is recent. The economics of the whole venue shift when the feedback loop shortens.
Scheduling against your own sales curve
Most schedules are built from memory: last week's grid with tweaks. The result is chronic overstaffing on soft Tuesdays and scrambles on event weekends. Your POS already holds the answer. Sales by daypart, by week, compared year over year, adjusted for what is on the local calendar, produces a draft schedule that is usually better than the gut-feel version.
The manager stays in the loop. The draft lands in 7shifts with projected labor percentage attached, the manager adjusts for the things data cannot know, and the tip-credit and break records stay clean for payroll. Forecasting replaces the blank-page problem, not the manager's judgment.
Why hospitality data is harder than it looks
The inputs are genuinely ugly: supplier PDFs with inconsistent formats, handwritten spoilage logs, POS buttons named three different things for the same item. Systems built for clean corporate data fall apart in a kitchen. Every extraction pipeline I build includes a confidence threshold and a human review queue, because a system that guesses wrong on case sizes is worse than no system.
This is also why the build has to start from your real inputs, not a sanitized demo set. In shadow mode, the system processes your actual invoices and counts for weeks before you rely on it. By the time it goes live, the edge cases have already been found.

Why operators take my call

Does this work with Toast or Square for Restaurants?
Yes. Both are the most common POS platforms I integrate, pulling sales mix, depletion, and labor data through their APIs. Clover, Lightspeed, and TouchBistro work too. If you are on MarketMan or Craftable for inventory, I build on top of them rather than replacing them.
We already use 7shifts. Why would we need you?
7shifts is good at publishing schedules and tracking time. What it does not do on its own is draft next week's schedule from your sales forecast, flag when projected labor percentage drifts from target, or reconcile the tip-credit data payroll needs. My systems feed 7shifts better inputs; your managers keep using the tool they know.
How accurate is invoice extraction on crumpled paper invoices?
Modern document AI handles messy photos well, and anything it cannot read with confidence gets queued for a human instead of guessed. The line-item matching to your inventory list improves every week as the system learns your vendors' formats.
What about liquor liability and compliance?
Automation never touches service decisions. It handles the paperwork around the operation: counts, invoices, schedules, reviews. Incident logs and cut-off decisions stay human, as they should. Where data relates to licensing or Dram Shop exposure, I keep the records clean and auditable so your side of any future question is documented.
What does a first build cost for a single location?
